Privacy, in plain language

This page explains, in plain language, what data Sinsonte handles, what we use it for, how long we keep it and how you delete it. It applies to the app (Android, Windows and the web version) and to this site. It's a living document — flagged below under "Changes to this policy" — but every sentence here is exactly what we do today, not a marketing promise for later.
Scope and legal framework
By using Sinsonte you accept this policy. If you record a conversation with another person — a medical, legal or financial consultation, or any meeting — what's said there can be sensitive data under European GDPR (Article 9) and Colombia's Ley 1581 of 2012. We treat all audio data to that standard in every country you use it, not only where the law protects you directly by default.
What data we collect
- Account. Your email, interface language and the plan you use.
- Audio. What you record with the app or upload as a file (a voice note, a WhatsApp audio, a downloaded recording).
- Transcripts and artifacts. The text that results from that audio, and the summaries, action items, mind maps and other reports Sinsonte generates from it.
- Notes. What you type or tag ("decision", "task") while recording.
- Capture images. If you use "Capture moment" on desktop, we store that screenshot alongside the meeting — only when you take it with that button, never automatically or continuously.
- Usage. Which features you open, how long your sessions last, and the errors the app hits — to fix things, never to build an advertising profile of you or sell it.
- This site, additionally. If you leave your email in the updates form, we store the email, what you asked for (Android, desktop, or both) and the language you were reading in, only to write to you when there's something worth knowing.
What we use it for
- Providing the service: transcribing, separating voices, structuring and generating the artifacts you asked for.
- Recognizing who's speaking within your own meetings, never across different accounts or organizations.
- Support: answering when you write to us.
- Measuring usage in aggregate to fix what's broken and decide what to build next.
- Billing, the day a paid plan is actually active.
- Complying with legal obligations when an authority requires it by law.
Legal basis
We process your audio and account data because you gave your consent when recording or uploading a file, and because it's necessary to fulfil the contract of giving you the service you asked for (transcribing that meeting, generating that summary). Any cross-meeting identity recognition — voiceprints — is strictly opt-in and is disabled across the whole product today; see "Voiceprints: off" below.
What the app does
Recording a conversation is a serious thing. These are commitments already built into the product's design, not marketing promises:
- We never join your call. No bot joins a meeting, no automatic email goes to attendees, nobody finds out you're using Sinsonte because we told them.
- Nothing sends itself. No summary, minutes document or report leaves your account to another person unless you send it.
- Recording notice. Before your first recording the app shows the consent notice for your country. Recording other people has different rules depending on where you are, and we tell you what they are.
- Deleting means deleting. When you delete a meeting, the audio is removed from storage, the transcript segments are deleted, and any voice data that existed only because of that meeting is deleted too. No copy stays around "just in case".
- Retention with a deadline. Every workspace has a retention period, enforced by an automated process — see "How long we keep your data" below for the exact numbers and today's rollout status. You can shorten it.
- Voiceprints: off. Recognizing the same person across meetings requires storing a third party's biometric data — your patient's, your client's — and that's disabled. The app separates voices within each meeting and you name them. Nothing persists as biometrics.
- We know which provider handled each meeting. It's logged, and we only work with companies that are contractually forbidden from training anything on what you say.
Where your audio goes, hop by hop
Since August 15, 2026, Sinsonte's processing runs in the cloud by default — not on a personal machine — so it's reliable at any hour. That means your audio and text may be processed outside your country, usually in the United States or the European Union. We don't name here who we assign each step to — that list changes every time we measure, and this page is about guarantees, not about who fulfils them for us — but we do tell you, hop by hop, what rules govern each one, in whatever country it happens:
- No external engine trains on your audio or your text. That's a contractual condition with each one, not a verbal promise.
- Zero retention where the engine allows it. We ask every external call to keep nothing after responding, and we only count that as satisfied when the engine itself confirms it — not when we assume it.
- Where a brief retention is technically necessary, it has a limit and deletes itself. At most 48 hours for the audio and 24 hours for the result; after that, no copy remains on the provider's side.
- Processing region pinned to the European Union where the engine allows choosing it.
- We log internally which engine handled each meeting. It's not public information, but it exists: if something fails, we know from the log, not from suspicion, and we can account for it per meeting.

Sensitive data
If you record a medical, legal or financial consultation, what's said there is sensitive data under Colombia's Ley 1581 and European GDPR. We treat it as such: encrypted in transit and at rest, minimal access, and real deletion when you ask for it. We don't use anyone's recordings to train anything.
Who we share data with
We don't sell your data and there's no advertiser marketplace behind Sinsonte. The only third parties that see your audio or text are the processors described above, under those same retention rules — and only for the technical step that's theirs, never your full account record. Beyond that, we only share data if the law requires it, or if Sinsonte changes hands — and in that case, under the same guarantees on this page or better, and telling you beforehand.
How long we keep your data
The default retention window is 30 days for anonymous accounts (started without registering an email) and 365 days for registered accounts, counted per workspace from when the meeting happened. You can set your own number anywhere from 7 to 3650 days in Settings, in either direction. When a meeting passes that window, an automated nightly process is meant to remove it exactly like a manual delete would — that automatic sweep exists in the product today and is finishing its rollout; until it's fully live everywhere, nothing is silently kept past its window on purpose, and you can always delete a meeting or your whole account by hand at any time for an immediate, identical hard delete — see deleting your account for that step. The retention on each external processor's own side is the one in the table above — hours, not months — because the data only passes through there.
Your rights
- Access. Ask us for a copy of what we have on you at [email protected].
- Rectification. Fix your email, a speaker's name or any account data from the app, or ask us by email if there isn't a button for that yet.
- Deletion. Delete a single meeting from the app at any time, or your whole account by following the steps in deleting your account.
- Portability. Every report can be exported (PDF, DOCX or HTML depending on plan) whenever you want. If you need a full dump of your account in a different format, ask by email.
- Objection and withdrawal of consent. You can stop using Sinsonte and ask for deletion at any time; there's no contract that holds you beyond that.
We respond to these requests within a reasonable time and, in any case, within what the law that applies to you requires (GDPR or Ley 1581).
Minors
Sinsonte isn't directed at anyone under 16 and we don't knowingly collect data from minors that age. If you learn that a minor left us data, write to [email protected] and we'll delete it.
Cookies and local storage
This site carries no analytics, no advertising pixels and no
third-party cookies — you can check this yourself: the site's security
policy doesn't allow loading anything outside our own domain. It stores
two things in your own browser, with localStorage and not
cookies — the language you picked and whether you prefer light or dark
mode — and they never leave your device. The app uses only what's
strictly necessary to keep your session signed in.

Changes to this policy
If we change something important here, you'll see it on this same page with the date above updated, and we'll notify you by email or with a notice inside the app before it takes effect. No earlier version disappears quietly.
